Brochure Requests – Daily Mailing
As of June 2025 printed brochures have been discontinued – a trips list document will be maintained by Ian and the lates copy of this should be sent.
This task should be completed at the start of each day and will produce mailing labels for all brochures requested yesterday.
To print labels using the office A4 printer :
- Log onto Topicplus+ live environment
- Ensure that labels are in the printer (bypass tray suggested)
- From the menus, select “Mailing, Print Brochure/Booking Labels”
- Select “Client”
- Select “Clear ALL labels from list when printed
- Click “Submit”
- A .pdf file of labels will open in another window to be printed using standard printing methods.
- CARE – once the .pdf has been created, the daily label list is cleared. Don’t close the .pdf file until you have successfully printed and checked that the labels have been produced correctly! If there is a printer issue save the .pdf temporarily and delete once labels have been printed.
To print labels using the Dymo Labelwriter :
- Log onto Topicplus+ live environment
- From the menus, select “Mailing, Export Brochure Labels”
- Select Export Type = “Client”
- Select Merge multiple Brochure Requests for 1 person to 1 line = “Yes”
- Select Clear ALL requests from list when exported ?
- A .csv file of label data will be exported, and will open in Excel to be printed in the Dymo Labelwriter software.
- CARE – once the .csv has been created, the daily label list is cleared. Don’t close the .csv file until you have successfully printed and checked that the labels have been produced correctly! If there is a printer issue save the .csv temporarily and delete once labels have been printed.
Sending out the trips list :
- IMPORTANT – cost saving – Check that each customer does not have their own email address
- i.e. their email address on their customer record is set to noemail@icravel.co.uk
- If they have their own email address a copy of the latest trips list /pdf should be emailed to them from the bookings@ictravel.co.uk mailbox and the label discarded.
- If the customer doesn’t have their own email address print and post a copy of the all trips document using the label provided and an A5 or smaller envelope to avoid “large letter” postage rates.
